Privacy Policy

1. Overview

Eyetelli ("we," "our," "us") provides face recognition attendance tracking for businesses. This Privacy Policy describes how we collect, use, and protect information when you use our service.

We take privacy seriously — especially because our product involves biometric data. Our self-hosted architecture is specifically designed to minimize data collection and keep sensitive data on your server. All data stays on your server by default.

2. Face recognition data

This is the most important section. Here's exactly how we handle face recognition data:

  • All processing happens on your server. Face detection, recognition, and matching are performed entirely by Eyecore running on your own hardware. Face images never leave your network.
  • Embeddings stay on your server. The mathematical representations (embeddings) generated from face images are stored locally on your server. They are not uploaded to our systems.
  • Only license check-ins and optional Recognition+ calls leave your network. Eyecore periodically contacts our licensing server to verify your subscription status. If you enable Recognition+, borderline matches may be sent to our cloud AI for secondary verification. No other data leaves your premises.
  • Enrollment photos are stored on your server. When you enroll a person, their reference photos are stored locally on your server. These photos remain under your full control and are not transmitted to our infrastructure.

3. Information we collect

Account information

When you create an account, we collect your name, email address, and business information. This is used to provide and administer the service.

Attendance event data

Attendance events (person, time, location) are stored on your server. If you use the Portal dashboard, event data may be displayed through your browser but remains under your control.

Device information

Eyecore reports health status (online/offline, software version, camera connectivity) to enable license verification and remote management. No face data is included in these reports.

Usage data

We collect standard web analytics data (pages visited, browser type, IP address) when you use the Portal dashboard. This helps us improve the product.

4. How we use information

  • Provide and operate the attendance tracking service
  • Verify your subscription license status
  • Send service-related communications (outages, updates)
  • Improve the product based on usage patterns
  • Provide customer support

5. Data security

We implement appropriate technical and organizational measures to protect your data:

  • All communication between Eyecore and our services uses HTTPS/TLS encryption
  • Eyecore local storage is encrypted at rest
  • API access requires authenticated Bearer tokens with configurable permissions
  • Account access includes progressive login lockout protection
  • Remote management connections use encrypted Cloudflare tunnels

6. Data retention

Because Eyetelli is self-hosted, your data lives on your server and you control its lifecycle. You can export or delete your data at any time through the dashboard, regardless of your license status.

Eyecore data (face embeddings, attendance events, enrollment photos) is stored on your server and persists until you choose to delete it or decommission the server. Even if your license expires, your data remains accessible on your hardware.

7. Your rights

You have the right to access, correct, export, or delete your data. You can manage enrolled persons and their photos through the dashboard. Because data is self-hosted, you maintain full control at all times. For account-level requests, contact us at privacy@eyetelli.com.

8. Third-party services

We use the following third-party services:

  • Cloudflare — Tunnel connectivity for remote management of Eyecore installations

We do not sell, rent, or share your data with third parties for marketing purposes.

9. Changes to this policy

We may update this Privacy Policy from time to time. We will notify you of significant changes via email or through the dashboard. Continued use of the service after changes constitutes acceptance of the updated policy.
